Summit Elementary PTO Minutes<= /span>

The meeting was called to order by Courtney Arthur at 6:= 32 p.m., at Summit Cafeteria.

The minutes from October 4, 2005 minutes were approved as written. 

Treasurer’s Report

Melissa Fulton distributed the Treasurer’s Report = and noted that two teachers still have checks outstanding.  Heather Rhodes will send the teach= ers a note that the checks need to be cashed by Thanksgiving, as we will be closi= ng the account at Monroe County Bank before the end of the month, so we don’t receive another service charge.  Melissa sent an email to Verna DeLuce to get details regarding a $790.00 deposit tha= t she asked the PTO to make for her, to find out if this is from the Book Fair, however, has not heard back from Verna.&nb= sp; Melissa does not mind Verna going through PTO to deposit the profits from books sales and pay the vendors, which eliminates Verna needing to go downtown to get a purchase order number through MCCSC Administration; as lo= ng as PTO is paying a bill and not writing a personal check to someone.  Melissa will send Verna a follow-up email and report next month.  =

PTO made a profit= of $86.25 from our October 25th Skate Night at Skate Land.  According to Kim Letner, Summit = had 69 people in attendance that night.  Melissa Rhodes attended Skate Night and felt that Highland Park had approximately the same number of attendees.  Target reissued the Target Donations check to Summit (that was previously made out to Broadview and subsequently lost), which results from people using their Target cards.  We also received the new certifica= te for our Indiana Nonprofit Sales Tax Exemption, which is now issued under the na= me Summit PTO. 

Fundraising Overv= iew

Summit Elementary received approval for a Foundation gra= nt from MCCSC in which globes will be ordered for the school.  Therefore, the profits from fundra= ising can go to purchase maps for the classrooms.  Melissa Hinkle distributed some information from a company that sells globes and maps to other schools in t= he area and she will get some catalogs to Heather Rhodes, who will then have t= he teachers review their needs and choose what type they wish for their classroom.  It was thought tha= t if we can put an order in for December, the maps could be here by the first of= the year. 

  Charla Lancaster volunteered to meet with IU Student Legal Services and they = went over the 501(c)3 application with her.  After that meeting, Susan Bretsch was interested in additional information rega= rding the application.   Susan met with a former Broadview parent who is a CPA, who provided further information on completing the necessary applications.  There is a one-time cost of $150.00 to apply for the 50= 1(c)3 status and a $30.00 fee for the Indiana Incorporation status.  The officers agreed that the benefit would outw= eigh the application fees.  Susan and Melissa will continue the proces= s of completing the applications necessary to make sure we can offer o= ur donors the ability to include their Summit PTO donations as tax deductions.

Market Day Cookie Dough Sales  <= /o:p>

Kim Letner reported that we = sold 296 tubs of cookie dough, resulting in a profit of approximately $1,184.00.  We needed to sell = 250 in order to receive free shipping, so we did meet that goal.  As the cookie dough tubs come in c= ases of eight, we will end up with 16 extra tubs of various cookie dough flavors= , so PTO will be purchasing the extra tubs, thus reducing our profit slightly.  However, we can try and sell these= tubs on November 17, when the cookie dough is delivered, or PTO can bake cookies= for a future event (Holiday Festival?).  Kim asked for two volunteers to divide up the 60 order forms and make calls a night or two before the Delivery Date to remind everyone to come to= Summit between 4:= 00 and 6:00 p.m. to pick up their orders.  Susan Schlegel and Kelly Stegemoller volunteered to make the calls.<= span style=3D'mso-spacerun:yes'>  Kim also asked for volunteers to h= elp unload the truck, sort the orders and hopefully, be able to offer curbside pick-up service to deliver the cookie dough tubs to parents on November 17.=   Courtney Arthur, Dana Green and Je= nnifer Syrek will assist Kim.  Jennifer Syre= k will send a Reminder Flyer home with children on Friday, November 11.  Kim thanked Dana Green for walking around school and getting orders from teachers.  Ms. Albright gave a $10.00 donatio= n and we had a $5.00 expense for the printing of the order forms, although Kim is hoping that Market Day will waive that charge, as there were some initial problems with Market Day while getting the fundraiser started. 

 

Kim also mentioned that Market Day offers a “Taste= of Market Day” fundraiser, which features some of Market Day’s top-selling items.  Some of th= ese brands are the same as can be found at Sam’s Club.  This fundraiser is similar to that= of the Cookie Dough, as it functions as a stand-alone, one-time only event.  Kim also found out that a regular monthly Market Day program can be started anytime (she had previously been informed that it could only be started at the beginning of the school year).  However, to start this program, we would need to have someone willing to be the Market Day Coordin= ator and coordinate the orders and deliveries monthly.  (Volunteers?)<= /span>

Spirit Wear ~ Wrist Band Sales

Kim Letner reported that we = sold 60 bands, made $150.00 profit and thanked Jennifer Syr= ek for her help with the flyers and order forms.  We need to identify an event where= we can try and sell more of the bands.  Kim asked if we could sell them during the Santa Shop days and Dana Green responded that as long as the bands are in an area outside of the San= ta Shop, it shouldn’t be a problem.&nbs= p; If a Holiday Festival is being planned or other music event, this wo= uld also be a good time to offer the bands for sale.     

Marsh Fresh Ideas in Education

Kim Letner volunteered to ta= lk to Timmi Lynn Dobbins who originally brought up the idea= of participating in this program and find out what information she has on it.<= span style=3D'mso-spacerun:yes'>

No new information on this item.

Santa’s Secret Shop

Dana Green noted that the merchandise sheets for the San= ta Shop have arrived, but she doesn’t have the prices yet.  She requested one person to call volunteers from the Volunteer Form who signed up to help with Santa Shop.  Jennifer Syre= k will compose and send an email asking those volunteers to contact Dana, in order to schedule volunteers for set-up on Wednesday after school and worki= ng shifts on Thursday and Friday.  Susan Schlegel will follow-up with phone calls as needed.  Dana will be sending out an informational flyer on Santa Shop, assuming no prior knowledge of the event= on the part of the reader.  She w= ill then follow up with reminder flyers and an order form/envelope that the children bring with them on the day their classroom will shop (which the teachers sign up for in advance).  Dana will also check on if the Large Group Instruction (LGI) room is available in which to hold the Shop. 

Newsletter

Jennifer Syrek reported that Suzanne Sears, our Newsletter parent, has not received any information other than an email (from Jennifer) regarding November’s Skate Night.  It was mentioned that maybe a spam filter at Suzanne’s work was keeping other emails from reaching her.<= span style=3D'mso-spacerun:yes'>  Jennifer will email Suzanne and ask about that, as well as confirm that she still wants to work on the newsletter.  Susan Bretsch and Jackie Goodman offered to help Suzanne in= any way and Heather Rhodes will ask Theresa Malone if she will be the “po= int person” at Summit and receive any newsletter items.  Doug Waltz felt that if Suzanne wanted to have a mailbox in the offi= ce at Summit, where she could stop and pick up items when she was in school, that that would not pose a problem. 

 

New Business =

It was asked if there is anything the PTO or parents in general, can do to help Summit receive more staff, such as another secretar= y, a vice principal, and to increase our librarian’s status to full-time.<= span style=3D'mso-spacerun:yes'>  Other schools with lower attendance numbers than Summit= ’s have more than one secretary and a vice-principal or full-time librarian.  Discussion ensued concerning the b= est way to make our concerns for this issue, plus that of class sizes larger th= an state limits allow, known to the administration.  Susan Bretsch= will address this issue with Dr. Malloy’s office and report back later. 

 

Kim Letner made a motion to reimburse Jennifer Syrek for printer cartridge expense related to printing PTO correspondence (minutes, flyers, order forms).  Jackie Goodman second= ed the motion.

 

Kim Letner brought up the id= ea of a Teacher Luncheon where parents donate desserts.  Doug will check on a date for this= . 

 

Janet Wadzinksi requested gallon-size freezer zipper bags for the Title I Literacy Room, in which boo= ks are kept in the bags in order to protect them.  Kim Letner will check with Toni Ladow on if Kroger would be interested in donating some of these plastic bags.  Janet also noted that Verna DeLuce could still use some Library volunteers, espec= ially on Thursday afternoons.  =

 

Kim Letner asked if the Family Resource Center and Programs at Summit were just for Summit families, or if it is available to the community.  It was discussed that belief is wh= ile Family Resource Center is based at Summit, it is open to the community at large. 

 

Business conducted post-meeting through email vote

Due to time constraints at the meeting, an email was sen= t by Susan Bretsch afterwards asking for the PTO Officer’s to vote on a Barnes and Noble Voucher Book Fair Fundraiser date.  Susan made the motion to approve this fundraiser and it was seconded by Melissa Fulton.  The Book Fair Voucher date for Sum= mit Elementary will be Saturday, December 17 from 10 a.m. until 10 p.m.  Summit. Pare= nts take the voucher to Barnes & Noble on Saturday, December 17th 10 a.m. to 10 = p.m. and purchase whatever they want from the store (except gift cards and cafe' consumables).  At check out, they hand the paper voucher to the sales person along with the items they are purchasing.  Barnes & No= ble will keep track of how much our families buy and a percentage of the purcha= ses will be donated back to the PTO.  If net sales are less $200= 0 we receive 15% donated back to us:  $2000-10,000 and we receive 20% back, and if net sales are greater than $10,000 we receive 25%.  It is a terrific way for Summit to receive= some profit back from holiday shopping!  <= /span>

 

Meeting Date/Day = of Week Changes

It was determined that several PTO members would like to= see the meetings alternate between Tuesday and Thursday nights.  The December PTO meeting will ther= efore be held on Thursday, December 1.
