Summit Elementary PTO Minutes<= /span>

The meeting was called to order by Courtney Arthur at 6:= 37 p.m., at Summit Cafeteria.

Old Business

Courtney Arthur received thank you cards from Mrs. Walter and Mrs. Martindale for the checks presented by PTO.  She noted t= hat at the Executive Board Meeting we discussed moving the date for Open House to later in the month, approximately three weeks after the start of school.  It was noted that Pop Tabs are bei= ng saved for Riley Hospital, we just don’t have container at this time.  Box T= ops and Campbell’s Soup Labels can be given to Cindy Graham, P.E. Instructor, for Student Council’s use.  It was mentioned that Timmi Lynn Dobbins relayed that = she will be meeting with a Marsh representative soon to find out more informati= on on their new Fresh Ideas for Education program.  Jennifer Syre= k read the two amendments to the 09-06-05 meeting minutes and asked for appro= val of the minutes.  The minutes w= ere approved unanimously. 

Treasurer’s Report

Melissa Fulton distributed the Treasurer’s Report and noted that three teachers still have checks outstanding.  Heat= her Rhodes will give the teachers a friendly reminder to cash these checks soon= , so Melissa may close the Monroe Bank account.=   April Bush was thanked by Melissa and Courtney Arthur for helping se= t up PTO’s new accounts with Bank One.&nb= sp; PTO received a check from Target from the “Take Charge of Education” program where they donate 1% of Target Visa and Target Card purchases made at Target, to the school.&n= bsp; Broadview earned $600.00 in 2005 from this program.  The program is being carried forwa= rd to Summit with the a= ccount number remaining the same.  The final payment on the matching gift for the Summit Library was made to the Foundation of MCCSC in September.   

Market Day Update

Kim Letner reported the Mark= et Day Representative will return from vacation Thursday and she will talk to her regarding the Cookie Dough Fundraiser.&nbs= p; The Order Forms are $5.00 for 500 and Jennifer = Syrek will create a flyer to attach to the order forms outlining the reasons for = the fundraiser (to raise money for maps and/or globes for the classrooms).  Courtney Arthur, Jennifer Syrek and Kim will work on getting the order forms and flyers stapled together and distributed to the classrooms. 

[Update:  The Cookie Dough fundraiser order = dates are October 14 through October 25.  Kim and Jennifer will submit the order on Friday, October 28, to all= ow for any orders not brought in on the 25th.  The Delivery/Pick-up date is Thurs= day, November 17, from 4:00 – 6:00 p.m., in the Summit Cafeteria.  Volunteers are needed at 3:00 p.m. to help unload the delivery truck and put the orders together, as well as distribute the orders to customers between 4 & 6 p= .m.  Please contact Jennifer Syrek or Kim Letner if in= terested in helping.  Thanks!]

 

Heather Rhodes will ask the teachers in the next staff meeting of their preference for a map or globe, and what kind of map.  Courtney Arthur and Toni Ladow reported that Quill and Maxwell’s couldn’t get the maps at a significant discount, but that Learning Treasures gave us the name of the company they order from.  Heather felt it would be helpful t= o know the prices and what is available when talking with the teachers. 

 

Kroger Easy Certificates Fundraiser

 =

Toni Ladow mentioned that fo= r the school to participate in the Kroger Easy Certificates we must spend $500.00= to purchase the certificates and then 5% for each certificate sold to parents = will go to the school.  The certifi= cates are full-face value and you use it as you would cash, the only difference is that the school receives 5%.  = You cannot use the certificates to purchase fuel at the Kroger fuel station, but can transfer the amount to a gift card in order to use at the fuel station. 

To start this program, we would need a volunteer to sell the certificates to parents on a= set date and time at school.  Cour= tney Arthur noted that she would have every Friday off and could be at the schoo= l to do this on a set Friday every month.  Heather Rhodes wondered if the Family Resource (Theresa Malone) woul= d be interested in keeping some to sell to parents who came into the school at o= ther times (as other school Family Resource Coordinators do).  Heather will discuss with Theresa.=  

Fall Festival

PTO received a le= tter from Theresa Malone asking PTO to consider funding a portion of the cost of refreshments for Fall Festival (scheduled for October 27).  Discussion ensued about the use of= the CAPE grant money for the family programs at school = and what the plans are for the next three years of the grant and whether PTO sh= ould help fund all-school programs like Fall Festival, or commit to smaller projects.  Courtney Arthur con= sulted with Theresa and found that she is simply planning ahead as she may not be = here after the three years and would like to see PTO involved and decide if these are programs they wish to see continued at Summit after the three years.  Right now, only requesting help wi= th some of the funding and maybe planning, but not asking for help at the actu= al programs/presentations.  After= some discussion it was decided to give a set amount of $100.00 to Theresa Malone= for the Family Fall Festival.  Dana Green made a motion to approve, it was seconded by Susan Bretsch, and a show of hands indicated all present agreed. 

Spirit Wear ~ Baller (Wrist) Bands and T-Shirts

Kim Letner reported that the Summit Elementary Stars Wrist Bands have been ordered and she will receive the bands October 12th.  Kim will set up a table at Family = Fall Festival to sell the bands.  D= ana Green and Courtney Arthur offered their help.  Sara Anderson reported that she had several Youth size large t-shirts left and these could also be sold at Fall Festival.  Sara noted that if = there are still those wanting to buy t-shirts, the minimum order she can put in i= s 12 shirts.  She will tweak the or= der forms to differentiate between Child and Adult size requests and have a Final Order form available at Fall Festival.  She will take order= s that night only and will turn in the order the next day, Friday, October 28= th. 

Pizza Hut Fundraiser Update

Dana Green report= ed that she had received a check from Pizza Hut for $321.77 for the Pizza Hut = Fundraiser Nights held during the summer.  Found out that we needed to sell over $500.00 worth to receive the 2= 0% donation amount.  February and= March were successful and we received 20% of those sales, but the two held over t= he summer did not meet the $500.00 minimum and therefore we only received 10%. 

Newsletter

It was reported t= hat Theresa Malone will not be able to produce a monthly newsletter as in the previous year, due to time commitments, but that she would help anyone interested in doing one.  The Broadview Beat had offered students a chance to be reporters for their classrooms, but the task is extremely time-consuming.  Suzanne Sears offered to give a ba= sic one-page, two-sided monthly newsletter a try and Sara Anderson will send he= r a template of the one she produces as school secretary for Clear Creek Elementary School.<= span style=3D'mso-spacerun:yes'>  Dana Green and Heather Rhodes pled= ged to help Suzanne.  Information and= items for the newsletter need to be submitted to Dana (who would then give to Suzanne) by the 25th of the month, for the next month’s newsletter.  Dana will also ge= t the monthly lunch menu from Betty Schultz, Cafeteria, to copy onto the back of = the newsletter.  A possible name f= or the newsletter was suggested:  Sum= mit Shout Out.  It was determined = that the newsletter is an item we should add to next years’ Volunteer Requ= est Form, to see if any parents are interested in doing a monthly, or possibly, weekly newsletter. 

Communication

It was brought up that many parents feel they are not receiving communications home from their children’s teachers.  Se= veral families did not receive the Calendar that was distributed to all the classrooms and many of the parents were used to a greater level of school-to-home communication at their previous school, where it was mandato= ry for the teachers to issue weekly newsletters or notes home.  Some issues that were raised regar= ded what sort of “at home” reading program Summit was suggesting.  Dana Green mentioned the Reading P= rogram that Broadview used previously (1,000 Minute Reading Club) and that this had not been started at Summit yet.  She gave an overview to = the parents about how the program worked, with the presentation of a medal at Honors Day for those students who completed the 1,000 minutes.  Heather Rhodes said that she would= talk to Doug Waltz about getting information out to the parents regarding reading programs such as Self-Selected Reading and Accelerated Reader (which Heathe= r is implementing in her classroom).  She noted that the teachers are all working very hard to implement programs and that it just takes time to get things up and running.

Santa’s Secret Shop

Dana Green noted = the dates for the Santa Shop as Thursday and Friday, December 8 and 9 and has confirmed these dates with the vendor, Fun Services.  She needs to meet with Melissa Smi= th to start working on this, and Vicki Hudson agreed to be a co-chair for the event.  Dana gave an overview = of Santa Shop for those parents not familiar with it.  Dana noted that for all the work involved, Broadview only made $300.00 in profit last year and she really wo= uld rather not continue to hold this event (although we are locked into this ye= ar by contract) and was open to suggestions on what to do.  It was determined that a survey wo= uld be sent to parents, when Dana distributes the Santa Shop Merchandise and Price Sheet, asking them if they want to continue with Santa Shop.  At the December 15th Executive Board Meeting, based on the survey results and the profit made fr= om this year’s shop, it will then be decided whether to continue with Sa= nta Shop. 

Skate Night

Kim Letner reported that Skate Night at Western SkateLand has been changed to the = 3rd Tuesday of every month, with the first one occurring October 25, 6:30 ̵= 1; 8:30 p.m.  Summit Skate Night = will be shared with Highland Park Elementary and the cost is $3.50 to skate/including skate rental, with Summit receiving $1.25 per skater from their school (if 75 skaters minimum come).<= span style=3D'mso-spacerun:yes'>  You just need to let the cashier k= now which school you are from when paying admission.  A PTO Officer needs to be present = as SkateLand will have that person sign and pay them the= ir fundraising profit in cash that same night.  Courtney Arthur said that she would attend the October 25th Skate Night.  It needs to be advertised and note= d that there are no drop offs.  Paren= ts need to stay and supervise their children.

It was decided th= at when Jennifer Syrek composes the flyer to attac= h to the Market Day Cookie Dough Order Forms, that Skate Night and Fall Festival information would be included on the flyer as well.
