Summit STARt-Up Celebration/Open House

The cookies for the Summit ST= ARt Up-Open House have been ordered.  We have grape koolaid, but still need to purchase sugar for the koolaid.  Cups and napkins have also been purchased.  The refreshment ar= ea is being staffed by parent volunteers with 2 parents at the table per ½ hour.  The Summit STARt Up wil= l run from 6:30-8:00p.m. (not 8:30p.m. as one flier st= ated that went home with students).  PTO= will have three tables set up.  One= with spiritwear, one with PTO information and opportunities, and one with fundraising information.  Ther= e will also be tables with Girls Inc., Kiwanis Kid’s Club, Market Day, Boy Scouts and Girl Scouts.  Mr Wa= ltz also requsted that MCCSC Foundation be included.  There was discussion about the nee= d for bleachers and/or chairs being set up that evening.  It was decided that both bleachers= and chairs would be necessary for the event and Susan Schlegel said she would r= elay that information to the appropriate staff members and would also provide the set-up crew with a map of where tables needed to be put in the gym.  We still need volunteers to help a= t the PTO table for the last ½ hour (7:30-8p.m.) and with clean-up. 

 

Santa’s Secret S= hop

The Santa’s Secret Shop viewing is Friday, December 14.  The sale will be held later that afternoon/evening (Dec. 14) and also the follo= wing day, Saturday, December 15 during the morning.  Susan Schlegel suggested having so= meone dress up as Santa and requested volunteers to do so for the sale dates.  Heather Rhodes said she owned a Sa= nta costume and there was talk of Mr. Waltz possibly using that costume to play Santa J   Michele Conner also remarked= that her husband has played Santa in the past and might be willing to do so for = the event.

 

Playground Equipment

 Susan Schlegel recently called and = talked to the owner of Blue Grass Playgrounds.&nb= sp; The playground equipment has not yet been shipped but our check for = the equipment has been cashed. We are supposedly still waiting on the balance b= eam to be made and thus that has been the reasoning for the delay in shipment.<= span style=3D'mso-spacerun:yes'>  Susan Schlegel was going to call t= he manufacturer on Friday, September 7 and hoped to talk to the president of t= he company by Monday, September 10.  The PTO is planning on receiving some kind of manufacturer discount = due this long delay in shipment.

 

Hot Dog Stand

Dana Green offered to call Kr= oger South and reserve their hot dog stand for Saturday, October 13. =  If that date wasn’t available= there was talk about reserving Saturday, October 6.  Dana also suggested contacting Wal= mart about their hot dog stand since they offer to double the hot dog stand sale= s up to $1,000.  Dana said she woul= d contact both Kroger South and Walmart.  Once a date was set Alena Sanford would take over and be in charge of the hot dog stand fundraiser and would gather volunteers and supplies for the event.  There was discussion of parents do= nating supplies (such as hot dogs, buns, sodas) versus the PTO actually buying the supplies with PTO money.  It w= as noted that a majority of the volunteers could be Summit students and that o= nly a couple adult volunteers would be needed per shift to actually cook the hotdogs and handle money.

 

New Business:=

 

Meeting with Teachers<= o:p>

Susan Schlegel attended the r= ecent staff meeting and spoke with the teachers briefly.  She relayed the information to the= m that PTO finances are very tight right now and that it is the PTO’s priori= ty to provide things that encompass the whole student body (rather than one cl= ass or grade).  Susan also stated = that it was the PTO’s goal this year to fund the Shining Star breakfasts as well as teacher luncheons.  Su= san also asked for ideas from the teachers regarding what they considered to be current needs at Summit.  That= list of ideas was passed around during the PTO meeting.  Susan explained to the teachers th= at a “request/reimbursement” form needs to be filled out if there is= a need for PTO money to be allocated for certain supplies/events.  There seemed to be some confusion = among the teachers about this as it did not mean that the PTO would pay for any receipt of supplies that a teacher provided.  These “forms” will soo= n be available in the front office and they need to be filled out by the necessa= ry party, returned to the PTO treasurer and then approved at the PTO meetings.  Laura Bates suggest= ed putting a cap on expenditure (i.e. a certain percentage of money go towards teacher luncheons and whatever dollar amount that percentage equalled would= be allocated for the luncheons).  Mr. Bellessis had given Susan Schlegel a $20 receipt for science equipment he h= ad bought for his classroom; asking that PTO pay that amount.  That request was denied and Mr. Wa= ltz said he would take care of it.  It was suggested that teachers have opportunites for grants throughout the year which could help with some of these classroom supply needs.  And it was also noted that some pa= rents are willing to help with funding this year for specific classroom needs.  It was suggested that parents and teachers organize and fund class needs instead of asking the PTO for help s= ince the PTO has little funding available.   Mr. Waltz stated that the PTO suspend all allocations of PTO funds at this time. 

 

Family Fun<= /span>

Mrs. Burkhart recently gave S= usan Schlegel information about a new, easy PTO fundraising activity selling Fam= ily Fun magazine.  It’s simp= le and almost effortless.  It costs $= 10 for 10 issues and the PTO would receive half of that money ($5) for each subscription sold.  PTO plans = to do the fundraiser and to have more information about it at the Summit STARt Up/Open House.

 

Shining Star

Susan Schlegel stated that sh= e and a few other wonderful parent volunteers are rotating Mondays helping with t= he Summit Shining Star breakfasts.  800 star stickers (at a cost of $26.87) are on order and will be sent to Melissa Hinkle and 1,000 pencils (at a cost of $142.64) are on order and will be se= nt to the school.  A year’s= worth of certificates were also ordered and have already been received (at a cost= of $47).  A month’s worth o= f PopTarts and Apple Juice have been purchased by Susan Schlegel for the breakfasts. S= usan will be reimbursed by the PTO for those purchases.  Mr. Waltz will reimburse Melissa H= inkle $142.64 for pencils, $26.87 for stickers and $47 for certificates (for a to= tal of approximately $216).  Melis= sa will get Mr. Waltz the exact numbers from her receipts soon.  Gretchen Morgan thanked the PTO for helping with all this.  <= /o:p>

 

LGI Calendar

Kelly Stegemoller had previos= ly provided Angie Osborne with PTO and Market Day dates to be put on the LGI calendar.  This had not yet be= en done so Kelly gave the same list to Mr. Waltz who said he or Gretchen Morgan would make sure they were put on the calendar.

 

Market Day<= /span>

Susan Schlegel recently conta= cted Joann Abdoo, Market Day Chairperson, but hasn’t heard back from her.<= span style=3D'mso-spacerun:yes'>  May it be noted that Market Day an= d PTO are now sharing a mailbox in the school office.   The September Market Day sal= e is Tuesday, September 11 with pick-up of orders from 5:30-6:30p.m. in the LGI = Room at Summit.  Also may it be not= ed that the November sale date has been secured and will be on Friday, Novembe= r 9 (the day had to be moved to a Friday due to MCCSC having that Tuesday off f= or Election Day)

 

Treasurer

Our current PTO Treasurer, An= na Brackee, is now homeschooling her previous Summit child and although the Su= mmit bi-laws state that the PTO Treasurer does not have to have a student attend= ing Summit, the PTO agreed we would like to have a Treasurer who is a Summit pa= rent and one who is easily excessible and able to attend meetings regularly.  Summit Parent, Laura Bates has graciiously offered to take on the role of our PTO Treasurer.  Heather Rhodes moved that Laura Ba= tes be appointed as the new Summit PTO Treasurer.=   Dana Green seconded that motion.&nb= sp; All present were in favor and the motion passed unanimously.  We welcome Laura Bates as our new Treasurer!

 

Treasurer’s Repo= rt

Anna Brackee was not in atten= dance to present the August Treasurer’s Report.  Laura Bates had a copy of the repo= rt (see attached) and noted that there was $990.48 in the checking account and $1,034 in the savings account.  Laura also requested receipts from Vicki Streiff for Kroger certific= ates ($250) and Susan Schlegel for the Open House cookies from Hooser Hills ($23= 5) and also stated that Melissa Hinkle had an outstanding check for the mulch.=

 

Other Busines= s

 

Melissa Hinkle pointed out th= at there are a number of deaf parents in our school and asked if there was goi= ng to be someone at Open House to interpret or sign for them so they can get a= ll the information that is said.  It was suggested that some of the information presented at the Summit STARt Up= be typed up and given to these specific parents.. 

 

Melissa Hinkle made of note of applauding Mr. Waltz and the staff for doing away with flavored milks and stocking only white milks.

 

T-Shirts

Three 6th Grade st= udents designed the new Summit t-shirt.  The t-shirts will be white this year and underneath the design will = be the names of the three girls who designed it.  We ordered 70 t-shirts this year.<= span style=3D'mso-spacerun:yes'>  We will charge $12 for long-sleeved shirts and $8 for short-sleeved (next year we hope to just order baseball t-shirts with a midlength sleeve)  It was decided that the old gray Summit t-shirts would not be sold at half-price, but instead would be sold for full price at the Summit STARt Up.  LaDonna Hacker moved that= the three student winners who designed the new t-shirt each be awarded a free t-shirt.  Vicki Streiff second= ed that motion.  All were in favo= r and the motion passed unanimously.  There was discussion of giving the Summit Playground staff each a free t-shirt al= so, but no decision was made at this time.

Susan Schlegel will contact t= he Summit staff responsible for setting up the gym for the Summit STARt-Up Celebration/Open House.  She w= ill give them a map of table placements (making sure there is a table for MCCSC foundation per Doug’s request) and asking for both chairs to be set up and bleachers to be open.

 

Susan Schlegel will purchase = sugar for the Kool-Aid for Open House.

 

Dana Green will contact both = Kroger South and Walmart about having a hot dog booth fundraiser there on October = 13 (1st choice) or October 6 (2nd choice)

 

Once Dana has secured a Hot D= og Booth date and location. Alena Sanford will take over and will organize the booth= by gathering supplies and volunteers.

 

Susan Schlegel will contact t= he playground equipment manufacturer by Monday, September 10 and talk to the President there about the Summit playground equipment and why there has been such a delay in it’s manufacturing and delivery, and how the company plans to compensate us for that delay.

 

Melissa Hinkle will contact M= r. Waltz with the exact amount she paid out for Summit Star supplies.  Mr. Waltz will then reimburse Meli= ssa Hinkle for the approximate $221 she has used to pay for the Summit Star pencils, stickers and certificates.

 

Laura Bates (New PTO Treasure= r) and Susan Schlegel will make name and address changes on the PTO checking/saving accounts so that the financial statements are being sent to Laura Bates. 

 

Kelly Stegemoller will contact Charla Lancaster and as= k for Laura Bates’ name and email to be added to the Summit PTO Webpage and also to add current minutes to the link on that webpage.
