Minutes

Old Busi= ness:

We started with introductions. 

 

Open House- has been cha= nged to Tuesday, September 11, 2007, 6:30 – 8:00 pm.  We will come up with some fun flye= r that denotes something like Summit STARt up Celebration.  The flyer will give all of the imp= ortant details and will give a specific time for the assembly in the gym. 

 

Cookies and punch will be provided by the PTO. Susan Schlegel will call the Hoosier Hills Career Cent= er to follow up on purchasing 90 dozen cookies.  We will use up the sugar and kool-= aid from the PTO closet.  If Hoosi= er Hills is not up and running as early as September we will check with Beasley Foods.

 

Susan Schlegel will get = a note out to all vendors/clubs etc regarding open house date as well as contacting Tom Stone of Paragon to see if he would donate a basket to be given away as= a door prize.

 

MOTION: Charla Lancaster= moved that we purchase 90 dozen cookies @ $2.50 (cost from last year) from Hoosier Hills Career Center, Melissa Hinkle seconded, motion carried

 

The t-shirt- contest wil= l be among the 6th grade classes the first week of school. Heather Rh= odes is coordinating the contest and judges.&nb= sp; Susan Schlegel will follow up with Winters in ordering the t-shirts = so we will have them by open house.  We have some t-shirts left over from last year and Melissa Hinkle will make su= re that Miss Morgan gets a t-shirt for all new incoming teachers.

 

Angie Osborne will not n= eed volunteers to assist with stuffing packets.  All present were encouraged to hel= p out in the office if they could on the first day of school.

 

Market Day- the dates ha= ve been set, however, November 6th MCCSC has the day off due to local elections. Nov 6th was the Market Day pick up. Joann is going to follow up on which day we will need to move pick up to.  Joann is also going to contact our= MD contact person to let her know of the Open House and having some food sampl= es available. 

 

The next Market Day sale= is Tuesday, September 11 with pick-up of orders between 5:30pm and 6:30pm in t= he LGI room at Summit.  Paper ord= er sheets are due to Summit by Wednesday, September 5 and Internet (On-line) orders a= re due by noon on Thursday, September 6. 

 

Erica Peek (3rd grade teacher) will be the Kids Club staff sponsor this year and Verna Deluce (Librarian) will be the Student Council staff sponsor. 

 

Barnes and Noble- After = much discussion we decided to change the date for the Barnes and Noble Book Sale= to Saturday, December 1.  Susan Schlegel will call to make the date change. It was also decided to allow Student Council to decide if they would like to continue with the gift wrap= ping and collect all of the profits.  Again, Susan Schlegel will follow up with Verna Deluce about wrappin= g.

 

Santa’s Secret Sho= p- Dates have been decided upon.  Frida= y, December 14 there will be a preview in the AFTERNOON, no shopping just preview.  We will then have th= e shop open after school into the early evening and then again on Saturday morning= . We will have more discussion as it gets closer as to what other things we might have available on Saturday morning.

 

Playground Equipment- It= has been ordered and was supposed to be shipped and at the school by mid August.  After talking to our = vendor rep Melissa Hinkle informed us the company had not given us accurate delive= ry information so we aren’t exactly sure when the equipment will be in.<= span style=3D'mso-spacerun:yes'>  When it does come in we will need volunteers to assist with finishing it out with mulch etc.  The shade structure has been attac= hed to the barn….thank you Melissa Hinkle for getting that done!!

 

There will be a file box= in the PTO storage area so parents/teachers can look at old minutes, information on events from previous years etc. Susan Schlegel will have the box at her home until things get rolling at school, after the September meeting it will be = in the PTO area which is located in the intermediate wing, in the closet behind the glass display case.

 

Mr. Waltz said that he h= as talked to someone at the main office regarding another secretary.  Angie is very efficient however th= e work load is getting bigger, she needs a lunch break and there needs to be someo= ne at the desk at all times and all of these things are difficult to accomplish with just one secretary.  We w= ere encouraged to call the admin office to voice our concerns as well.

 

New Busi= ness:

IU Concessions-Charla La= ncaster has contacted someone from IU in regards to our school/PTO staffing a concession booth for either football or basketball games.  She said she would forward informa= tion to Susan Schlegel once she had received it.  She also stated that we would make= a significant amount of money (around $3,000) and that we would need to decide pretty quickly if we wanted to do it.

 

Action List-Susan Schleg= el suggest we continue with the action list…this would be a list that has all of the items that need to have some sort of action take and who will be responsible for following up on the task.

 

Paper Supply- Mr. Waltz = has given us permission to use school paper to make copies of things related to Summit and the PTO.  Angie sug= gested using blue for all PTO related information.  She could keep track of paper usag= e that way and know when she would need to order more.  Great idea!  Our color will be BLUE and remembe= r ALL information going out to families/teachers must be approved by Mr. Waltz or Miss Morgan.

 

Hot Dog Stand- This was = tabled until we get the volunteer forms returned after school starts.  Kim Letner suggested we do the Cle= ar Creek Kroger as Lowe’s dates have all been taken by now.

 

Treasure= rs Report:

Susan Schlegel discussed= with the group just how tight our budget is.&nb= sp; We have committed to cookies/punch for open house and purchasing the t-shirts as a fundraiser as well as other things i.e. Kroger Cards that we = won’t see the profits from for a while yet.  She would like to attend a staff meeting to let the teacher/staff kn= ow what has been done so far and that since we were able to purchase equipment= for the playground our funds are very low.&nbs= p; We will entertain requests but there is no guarantee we will be able= to pay for requests and we would like to fund things that support the whole student body whenever possible.  Susan will follow up on scheduling a time to attend a staff meeting.  We would also like t= o know what teachers would like us to raise funds for in the future!

 

Melissa Hinkle stated th= at the shade for the barn was $240.00.  We will spend approx.  $4,255.50 = for the mulch, Playground Equipment came to $4,194.00 and we are waiting on Menard’s to find out if they are willing to donate the railing to go around the playground to hold the mulch in.  The edging is also large enough fo= r kids to sit on.

 

End of the Year Report-K= im Letner submitted an end of the year report. Please see attached report.

 

Other Bu= siness:

Mr. Waltz met with a nutritionist to discuss school lunches.   There will be water and whit= e milk (2% and low fat) offered with the meal, we will no longer offer flavored mi= lks.

 

Summit Star- materials/f= ood have been purchased for the first several months.

 

MOTION:  Anna Brackee moved that we purchas= e 10 more Kroger cards, Vicki Streiff seconded, motion carried.
