Summit Elementary PTO Minutes<= /span>

The meeting was called to order by Courtney Arthur at 7:= 00 p.m., at Pizza Hut South.

Santa Shop

Dana Green report= ed that we will not be dropping Fun Services as our vendor for Santa Shop this year, but that this Christmas will end our contract with them.  Another company has presented item= s to Dana and we will consider whether we should consider switching after this year’s Shop.

Volunteer Form

The generalized Volunteer Form which Jennifer Syrek created aft= er discussion during the July PTO meeting was passed around, but it was decide= d to go with a Checklist format after viewing a sample which the Broadview PTO h= as used in the past.  Jennifer wi= ll revise the form to reflect “Summit” and email the form for approval to all members present this evening.  The finalized Volunteer Form needs= to be in to the Summit School Secretary no later than Monday, August 15, for inclusion in the First Day of School packet.  Courtney Arthur will work on a Wel= come letter from the PTO, for inclusion in the First Day Packet also. 

Yearbook

Sara Anderson asked about Yearbook and has offered her h= elp to Melissa Fulton in creating the Summit Yearbook this year. 

Open House

 

Open House has been scheduled for Thursday, September 1.  There could be a conflict = with the Open Houses for Batchelor and Bloomington South.  Kim Letner will call and find out the dates for those Open Houses.  [Update:  Batchelor Open House is September 14 and South’s is September 21].  Kim noted that Tom Stone of Paragon (magazine fundraiser) usually will come to Open House if invited (or send someone) and display products and give out foods samples and sometimes raff= le prizes.  She also stated that Paragon provided an ice cream party for Clear Creek School after a maga= zine fundraising campaign (rather than 2 or 3 parties for individual classrooms raising the most money).  Kim = will contact Tom and see if he is available for our Open House.  [Update:  Tom will come to the Open House and bring samples and have a gift basket to raffle]. 

Fundraising

 

There was discussion involving other fundraising options such as Market Day and a Coke and Hot Dog Booth at Kroger or Walmart.  It was noted that Walmart will match the amount raised= with a Coke and Hot Dog Fundraiser held out in front of their store.  Kroger has a book of dates in which groups can sign up for a Coke and Hot Dog Booth.  The Jackson Creek Location (eastsi= de) is booked, but the Clear Creek Location (south) still has many dates open.  Courtney Arthur informed the group= that Lowe’s was unable to give us a date for a Fall Coke and Hot Dog Booth= .  The Kroger booth may need to be considered further for a Fall Fundraiser.&= nbsp; Market Day (frozen food) fundraising would need a coordinator who co= uld put the order together and submit, then gather volunteers to distribute the order one day per month.  The = Market Day fundraiser has been very successful for Clea= r Creek School in the past and it was felt that we should add the job of Coordinator to our Volunteer Checklist Form and see if anyone is interested in taking on this position, thus adding a new fundraiser option for Summit.

 

The possible sale of Summit t-shirts was discussed and Sara Anderson will get prices and design/color options to Courtney.  It was t= hought that having t-shirts for sale at the Open House on September 1st would be a great idea.  <= /o:p>

 

The Kickoff for the Paragon magazine fundraiser, which D= oug Waltz coordinates, will be September, ending September 12.  The pick-up date for materials wil= l be September 15.  The preview of products from Tom Stone of Paragon at the Open House September 1 may help to generate more enthusiasm, resulting in increased sales. [Distribution date for Paragon materials?  Need to check]

 

Courtney Arthur will check on the money that has been ra= ised for the Summit Library with the Pizza Hut Fundraiser effort this summer. 

Treasurer’s Report

 

Melissa Fulton presented the Treasurer’s Report, as received from Jackie Goodman.  There was discussion regarding the practice of giving the teachers checks for sch= ools supplies and whether we should change that and pay for field trips instead.=   After some discussion, it was deci= ded that the practice will remain that PTO gives the teacher checks at the beginning of school.  Doug Wal= tz expects there to be approximately 28-30 classrooms/teachers with 2 full day kindergartens and 1 half-day kindergarten.=   Melissa noted the amount given last year as$75, but the profit from Spring Carnival will not be enough to offer that same amount for 28-30 classrooms.  If $50 is given, = that would be $1400 for 28 classrooms.  Kim Letner pointed out that the teachers= now can go to the Teacher’s Warehouse and get supplies for their classroo= ms at no cost.  Doug Waltz noted = that Broadview teachers previously did not have to volunteer their services at t= he Warehouse, as the school was considered “at risk”. 

 

In related treasury business, it was brought up that the= Monroe County Bank is charging PTO around $50 a year to keep the checking account there.  It was thought that if= we were to let them know we are shopping around for a better rate elsewhere, Monroe County Bank may waive the fee.  Melissa will be added to the account after the new Bylaws are incorporated. 

Calendar

 

A request was made to have a 6th grade gradua= tion at Summit (possibly instead of a Kindergarten graduation).  Susan Bretsch= had compiled a summary of the survey given to Clear Creek families moving t= o Summit, regarding what traditions they would like to= see continued at Summit= .  Doug Waltz and Cindy Graham each received a copy and will bring this to the teachers.  Doug did not think the 6th grade teachers would have a problem with a graduation and Cindy noted that nothing had been finalized by the Traditions Committee and greatly apprecia= ted the information compiled by Susan.
